Year-End Inventory Review: Clear Idle Surplus Before December 31

Year-end counts expose idle lubricants, tanks, and equipment. Here’s how to decide what to sell and when to list so the sale closes before December 31.

Year-end inventory counts have a way of turning up the same items every December. The pallet of discontinued gear oil. The dispenser pulled during last spring's remodel. The aboveground tank that came out of service two years ago and still sits at the edge of the lot. Each one gets counted, recorded, and carried into the new year again.

This year, there's still time on the calendar to do something different. Here's how downstream petroleum businesses can use the year-end count to decide what to sell, and when to list it so the sale has room to close before December 31.

Idle Inventory Costs More Than It Looks

Surplus that isn't moving still has a cost. It takes up warehouse space you could use for product that sells. It gets handled, counted, and insured year after year. And for lubricants especially, time works against value: the further a product gets from its manufacture date, the harder it becomes to sell at a fair price.

Equipment follows the same pattern. A cooler, lift, or tank trailer that's been idle for a year is worth less every season it sits, while the buyer who needs one right now is looking somewhere else.

Sort Your Count Into Keep, Sell, and Scrap

As you work through the count, put every slow-moving item into one of three groups:

Keep: Product and equipment you use or sell on a regular cycle. Leave it alone.

Sell: Items that are still in good condition but aren't moving for you. Think discontinued product lines, overstock from a bulk buy, SKUs you've dropped from your lineup, equipment idle for 12 months or more, and tanks that are out of service but still sound.

Scrap: Items that are truly at the end of their useful life.

Be careful not to put too much in the scrap pile. Some lubricant grades are hard to find in today's market, and what's slow for your customer base may be exactly what another distributor or end user is searching for.

Selling vs. Writing It Off

Writing off surplus records a loss and clears it from the books, but the product or equipment is still sitting in your building. Selling it brings cash back into the business and frees the space at the same time.

How each option affects your year-end numbers depends on your business, so talk with your accountant before you decide. What matters for timing is this: if a sale is the better choice, it needs to start soon.

Work Backward From December 31

On Petro-Exchange, every sale runs on a defined, escrow-style transaction timeline through Trustap, which protects both sides. Once a buyer commits, here's how long each step can take:

Payment: Immediate for standard checkout, or up to 5 days for accepted offers.

Delivery or pickup: Up to 14 days after payment is secured.

Inspection: The buyer has 7 days to inspect once the item arrives, and funds are released after approval or when the window closes with no complaints.

Many transactions finish sooner, but the full timeline can run close to four weeks after a buyer commits, and that's before counting the time it takes to find the buyer. Listing in November gives your items time to be found and the transaction time to close. Waiting until mid-December leaves very little room.

Make Your Listings Easy to Say Yes To

With a short runway, the details in each listing matter. Buyers move faster when they don't have to ask questions first. Include clear photos, exact quantities, manufacture dates or batch numbers for lubricants, honest condition notes for equipment, and your shipping terms (FOB Shipping Point or FOB Destination).

If your count turned up a long list of SKUs, you don't have to enter them one at a time. Our CSV import tool lets you upload multiple listings at once from My Account > My Listings > Import CSV.

Don't Carry It Into 2027

Listing on Petro-Exchange is self-serve, and your items reach fuel marketers, lubricant distributors, and convenience store operators across the U.S. Turn this year's count into next year's working capital.
